Event Service Fees Refund and Cancellation Policy

When an Event Organiser, Promoter or Committee accepts a quote for Event First Aid and Stand-by Emergency Services offered by Emergency Medical Response, it means a binding contract is created between the Event Organiser, Promoter or Committee and Emergency Medical Response. Notification of cancellation of invoiced services must be made in writing to Emergency Medical Response.

In the case of cancellation, the following cancellation fees will apply:

  • Event Organisers, Promoters or Committees who give notice to cancel their event requirements more than 30 days prior to the commencement of the event will be entitled the cancellation of invoiced services or a full refund of any invoiced service fees paid.
  • Event Organisers, Promoters or Committees who give notice to cancel their invoiced services less than 30 days prior to the commencement of an event will be entitled to a 75% refund of fees paid. The amount retained (25%) by Emergency Medical Response is required to cover the cost of resources which will have already been committed based on the Event Organisers, Promoters or Committees initial intention to engage the invoiced Event First Aid and Stand-by Emergency Services. 
  • Event Organisers, Promoters or Committees who give notice to cancel their invoiced services less than 10 days prior to the commencement of an event will be entitled to a 50% refund of fees paid. The amount retained (50%) by Emergency Medical Response is required to cover the cost of staff which will have already been committed based on the Event Organisers, Promoters or Committees initial intention to engage the invoiced Event First Aid and Stand-by Emergency Services. 
  • Event Organisers, Promoters or Committees who cancel the invoiced Event First Aid and Stand-by Emergency Services once the invoiced event has commenced will not be entitled to a refund of fees. 

Please note that administration fees may still apply for the processing of refunds. 

Where refunds are approved, the refund payment will be paid to the Event Organiser, Promoter or Committee within 14 days from the time written notice is received to cancel the invoiced Event First Aid and Stand-by Emergency Services. 

Note. If for any reason Emergency Medical Response is unable to fulfil its service agreement with a Event Organiser, Promoter or Committee, Emergency Medical Response will refund the proportion of fees paid for services not delivered.
